Administration Coordinator

We are looking for an administration coordinator to join our team in London. This is an exciting opportunity to be part of a growing practice. We are a tight-knit team of 20, collaborating closely with industry leaders to deliver excellent designs in the public and private sectors – many of which are award-winning.

You will work directly with our office manager to ensure the smooth running of the office and provide assistance with financial tasks, and work with our communications manager to publicise our expertise and capabilities internally and externally. The ideal candidate will be self-motivated, highly organised, and personable.

Main responsibilities include assisting with

General office administration:

  • ordering stationery and office supplies
  • ensuring the office and meeting space is presentable
  • project information and in-house filing
  • organising social events – both internal and external
  • answering phones
  • managing the general office email inbox

Financial administration:

  • entering financial data into Xero
  • preparing invoices
  • reconciling accounts

Staff administration and HR:

  • maintaining our office manual and policy documents
  • ensuring timesheets are inputted correctly and on time
  • monitoring holiday and absence records


  • creating document templates
  • designing and coordinating branded stationery
  • contributing to our digital and social media plan
  • organising photography for projects and the team
  • producing communications material
  • coordinating industry events and our attendance
  • tracking press and awards
  • coordinating our new business strategies
  • updating our contact management system

  • Undertake a varied and diverse mix of tasks
  • £20,000– £23,000 – depending on experience
  • Permanent, Full Time – Part Time will be considered
  • Monday-Friday, 9am-6pm – with flexibility when required

The ideal candidate will:

  • Be proficient using Microsoft Office software
  • Have a confident phone and front of house manner
  • Have good numerical skills
  • Be an excellent communicator – written and spoken
  • Have experience of using Xero and Adobe Creative Cloud, particularly InDesign and Photoshop (beneficial, not essential)
  • Have worked within a similar role already (advantageous but not essential and training can be provided)


  • Flexible working arrangements split between the office and home – up to 2 days per week may be based from home for Full Time Staff
